Facebook and Instagram Lead Ads: how to receive and manage contacts without losing them

Meta Lead Ads are ads with pre-filled forms that collect contacts directly on Facebook and Instagram, with no landing page needed. They work very well for generating leads, but they hide a problem few guides talk about: Meta does not notify you when a contact arrives and deletes the data after 90 days. In this guide we look at how Lead Ads work and, above all, how to receive your leads in real time in one place so you can contact them while they are still warm.

Most content about Lead Ads focuses on how to create the campaign. But the campaign is only half the job: the difference between a lead that becomes a customer and a wasted lead is decided almost entirely after the click on “Submit”.

What are Facebook and Instagram Lead Ads

Lead Ads (with their so-called instant forms) are a Meta ad format built for lead generation. When a user taps the ad, a form opens directly inside Facebook or Instagram, already pre-filled with their profile data: name, email, phone number.

The advantages over a traditional landing page:

  • Less friction: the user never leaves the app and barely has to type anything.
  • More conversions: the pre-filled form takes a few seconds to complete, even on mobile.
  • Custom questions: on top of the standard fields you can add qualifying questions (budget, needs, timing).

Meta offers two form types: more volume, which makes submitting as quick as possible, and higher intent, which adds a confirmation step and filters out less motivated contacts.

The problem: where collected leads end up

Here comes the part that surprises anyone launching their first campaign. Collected leads land in Meta Business Suite and Ads Manager, and to use them you have to go get them. Without an integration:

  • No notifications: Meta does not alert you when someone fills in the form. If you do not check every day, leads pile up without anyone knowing.
  • Manual CSV export: you have to download contacts by hand, form by form, and import them into your tools.
  • Leads expire after 90 days: after that period, Meta permanently deletes the data and there is no way to recover it.
